The Human Resources, Payroll, & Benefits Administrator provides administrative support for Human Resources functions, payroll processing, and benefits administration. Promotes and maintains the company's mission, values, and culture. Provides exceptional communication and service to employees. Sets the example of an engaged employee and supports employee engagement throughout the company.
Essential Duties and Responsibilities:
Payroll
- Responsible for timely, accurately, and compliantly processing the company's bi-weekly payroll for 150+ employees using HRIS (ADP).
- Provide a bi-weekly payroll reminder for company timecard managers and contact managers for any missed approvals, or any time and attendance issues concerning the bi-weekly payroll process.
- Maintain and update the HRIS (ADP) payroll data such as salary changes, benefit premiums, withholdings, 401(k) deductions, and additional payroll batch items as needed or received for the bi-weekly process.
- Process final pay employee data for terminations in HRIS (ADP) to ensure state compliance regarding final pay requirements as needed.
- Maintain bi-weekly payroll folders with supporting documentation for all items during the pay period.
- Execute a variety of reports or queries utilizing appropriate reporting tools for the bi-weekly payroll. Using those reports or queries and timecard reviews, conduct a thorough review of bi-weekly payroll before final approval is granted.
- Provide payroll reports for accounting on a bi-weekly and monthly basis.
- Maintain the payroll general ledger system through the HRIS (ADP) ensuring codes are correct, mapped, and adjusted as needed.
- Monitor and track missed benefit premiums for employees on leave and make any deduction adjustments as needed.
- Help maintain data integrity in the HRIS (ADP) payroll system by running queries and analyzing data as needed.
- Research and resolve company problems in conjunction with HRIS (ADP) payroll provider.
- Using content management software (GlobalSearch), ensure all supporting documentation within the bi-weekly payroll folder is stored properly.

- Administer all employee benefit programs such as medical, dental, vision, life, disability, flexible spending accounts, commuter benefits, and retirement plan by using both internal HRIS (ADP) and external carrier platforms such as Anthem, Mutual of Omaha, Fidelity, etc...
- Communicate benefits information clearly and concisely, translating complex data and information in an easy-to-understand manner to plan participants for initial enrollment, qualifying events and annual open enrollment using available resources such as email and phone communication, HRIS (ADP), etc.
- Using the HRIS (ADP) and internal resources, ensure all aspects of annual open enrollment are completed such as plan set-up/creation, open enrollment set-up, communicate open enrollment information, monitoring, closing, adjusting as needed and reporting info to carriers etc.
- Assist employees regarding benefits claim issues and plan changes by facilitating communication with carriers and assisting where possible.
- Respond to benefits inquiries on plan provisions, benefits enrollments, and status changes.
- Process employee terminations and submit COBRA notices through HRIS (ADP) and COBRA carrier
- Enroll employees in carrier sites and process status changes.
- Process and administer leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA for various locations around the company which may have specific state laws and requirements. Work with benefit carriers to ensure all leave-of-absence information is submitted in a timely manner to facilitate the leave process and ensure employees are provided with the leave-of-absence information, such as approval/denial letters, rights and responsibilities while on leave, etc.
- respond to and process all requests for information regarding unemployment insurance claims through email, mail, or state provided claims web portals in a timely manner.
- Reconcile monthly benefit invoicing for accuracy and submit for payment for various carriers using a combination of HRIS (ADP), carrier platforms, and internal accounts payable department
- Resolve enrollment discrepancies with carriers, payroll, and the company.
- Manage the growth and administration of the wellness program using the HRIS (ADP) and internal resources, including assisting employees with the utilization/understanding of the company program, tracking participation in the program and providing updates to each site location as required. Provide updates to management as needed.
- Using content management software (GlobalSearch), ensure all supporting documentation regarding benefits is stored properly.
Human Resources
- Daily administration of the company HRIS (ADP) homepage portal ensuring information is readily accessible and updated in a timely manner such as company phone roster, employee handbook, benefit plan info, etc.
- Process employee onboarding using the HRIS (ADP). Create, maintain, and update as needed the virtual onboarding process documentation for each location within the company. Ensure new employees are added to retirement plan carrier platform after onboarding.
- Assist in the recruiting process as needed by completing various aspects of recruiting such as creating new job requisitions inside the HRIS (ADP), posting to various applicant tracking systems, working with recruiting agencies, etc.
- Ensure all company and employee HRIS (ADP) information is updated and accurate such as job titles, job descriptions, benefit carriers, schedule templates, personal information, employment information, benefit information, payroll information, and statutory compliance information etc.
- Process all I9 verification forms within the HRIS (ADP) or E-Verify for all new hires, re-hires, and recertifications as required.
- Prepare and maintain employee files assuring accuracy, compliance, and confidentiality. Using content management software (GlobalSearch), ensure all documentation from employee files are stored properly.
- Process employee terminations using the HRIS (ADP). Ensure terminated employees’ status is updated in all carrier platforms such as health benefits, retirement, etc.
- Monitor, follow-up with, and maintain updated status for all employees on leave-of absence to ensure employees benefit premiums are being paid and ensure return to work conditions and timelines are met.
- Maintain accurate work anniversary recognition program to ensure employees are recognized for hitting various years of service milestones using vendors to keep shelf stock supplied.
- Respond to inquiries from employees, supervisors, or management regarding HR policies or procedures or route those inquiries to the appropriate person, department, or manager so they can be addressed in a timely manner.
- Work with accounts payable to ensure reoccurring monthly, weekly, or recent invoices from vendors used by the HR department are paid in a timely manner such as benefit carrier invoices, onboarding physical expenses, random drug testing expenses, company apparel expenses, etc.
- Complete various compliance related annual or reoccurring tasks such as annual EEO-1 reporting, annual Medicare CMS reporting, U.S. Census surveys, DOT & Non-DOT random drug testing notifications/authorization creation, I9 re-certifications, etc.
- Respond to employment verifications, and surveys as needed.
- Ensure all required reporting, forms, and posters are compliant with all federal, state, and local human resources laws.
- Participate in developing Human Resource department goals, objectives, and systems.
- Coordinate various local office events throughout the year such as holiday gatherings.
Qualifications - Associate or bachelor’s degree in business, human resources, or related discipline.
- Minimum of 3 years of experience in payroll, benefits administration, and general human resources activities preferably in a manufacturing environment.
- Knowledge of the principles and practices of human resources and familiarity with federal and state labor and employment laws and regulations.
- Proficiency in Word, Excel, Power Point, Payroll and HRIS systems.
- Maintain a friendly, positive, and approachable demeanor in all situations.
- Trustworthy and discreet with a high degree of personal integrity to maintain sensitive and confidential information.
- Strong analytical problem-solving and customer service skills.
- Prioritize and execute projects / tasks in a high-pressure environment while balancing multiple projects and adhering to strict deadlines.
- Strong written and verbal communication skills with the ability to clearly convey information and ideas to diverse audiences.
- Flexible, open to change, and accepting new unique projects or responsibilities.
- Desire to continuously learn and stay current on laws, rules, regulations, and trends affecting the human resources field.
