Office Assistant - Small Home Based Business - Minerals & Crystals

We are seeking a highly organized, dedicated, reliable, diligent, and friendly Office Assistant to join our home-based, online business that sells minerals and crystals to mineral collectors and metaphysical communities.

Hours: Tuesdays & Wednesdays - 6 hours/day - 10am to 5pm - 1 hour flexible time lunch break. (Please note, this schedule is fixed.)

The ideal candidate will be excited to help us get organized, and eliminate our administrative backlog. They will expand and maintain our filing system, manage documents, perform data entry for our inventory system bringing it to completion, and handle weekly shipping tasks. This position requires a high level of attention to detail, efficiency, and trustworthiness.

Although small, our home-based business, is a highly professional and systems oriented organization, founded by a 30 year veteran in corporate growth and start-ups. We are preparing to scale to our next phase of growth. We love what we do and are seeking someone qualified and excited to support us in our goals that could also become part of our permanent team.

Because the business and work is physically located in our home, you must like cats and be comfortable working around them.

Key Responsibilities:

- Filing System Setup and Management: Expand and organize our current filing system, ensuring all business and personal documents are filed accurately and are easily accessible.

- Document Management: File, sort, and manage backlog of both physical and digital documents/paperwork, maintaining confidentiality and security of sensitive information.

- Data Entry: Enter and update backlog of inventory data accurately into our inventory management system, ensuring records are current and precise.

- Shipping Management: Handle weekly shipping of products to include creation and printing of shipping labels, accurate labeling of parcels, and scheduling of US Postal Service and UPS pickups. Occasional drop off of parcels at USPS or UPS will be required.

- General Office Support: Perform other administrative tasks, or errands as needed to bring about and support the smooth operation of our home office.

Possible Future Opportunities:

- Website Product Management: Assist with uploading products and descriptions to our website.

- Email & Text Marketing: Assist with implementation of email and text marketing campaigns, and management of email lists and associated databases.

- CRM Systems Maintenance: Assist with management of CRM system, insuring accuracy and completeness, and culling/combining of duplicate entries.

- Other: Other opportunities for growth and expansion of duties/hours may be available to the ideal candidate as the business grows.

Qualifications:

- Positive Attitude: Bring enthusiasm and a genuine interest in contributing to the success of our business.

- Previous Experience Executing Key Responsibilities: This may have been in a similar role such as an on site office assistant, or virtual assistant, or in another role with similar responsibilities and oversight. You may have even managed your own home office.

Self-Sufficiency: Ability to execute tasks with minimal to no oversight, demonstrating initiative and independent problem-solving skills.

- Attention to Detail: Must possess a keen eye for detail to ensure accuracy and completeness in filing, data entry/management, and shipping tasks.

- Efficiency: Ability to complete tasks promptly while maintaining a high level of accuracy and quality.

- Trustworthiness: Handle sensitive information with confidentiality and integrity.

- Reliability: Consistently available to work the available hours, dependable and punctual.

- Tech Savy: Knowledge of office software (e.g., Microsoft Office Suite) and the ability to quickly learn new software systems. (e.g., Square, Dropbox, ASANA, PirateShip, Messenger, Canva, ChatGPT.)

- Communication Skills: Strong written and verbal communication skills for effective interaction and collaboration.

- Reliable Car, Valid Drivers License & Insurance: Periodically, you may be required to drop off or pick up parcels at USPS or UPS as well as other requests of the owners.

Physical Requirements:

- Lift boxes up to 45lbs without assistance.

- Able to navigate stairs.

Preferred Qualifications:

- Interest/Knowledge of Rocks, Minerals, Crystals, and metaphysical concepts.

- Familiarity with inventory management systems and website content management.

- Experience with shipping processes and tools.

- Knowledge of social media platforms, especially Instagram, Facebook, YouTube, Pinterest, and TikTok

- Experience with email and text marketing.

Compensation Package:

- Competitive hourly rate of $15 per hour.

- A 20% discount on our products (some limitations apply).

- Federal Mileage Rate reimbursement for business errands.
